MINUTES
MEETING WEDNESDAY 7TH JANUARY 2009

Before the commencement of the meeting it was decided that Granville would take the meeting.
Chairman’s Opening Remarks.
Granville opened the meeting by commenting that the attendance numbers were well down owing to the current Flu strain that was taking its toll both at work and events.

Apologies were received from the above and the attendance book signed, additional contact details were obtained from members to bring the records up to date.
Minutes of the last meeting
The minutes of the last meeting were accepted as a true record.
Matters arising
Aberconway Gardens item, No.9 on the agenda (Centenary Heritage Museum) item to incorporate a seat funded by the Oakdale Bowls Club. It was pointed out that other donations had been made to the Partnership.
Financial Statement.
The Treasurer handed out the current financial statement of accounts at January 6th 2009.

Nil
Further discussion relating to the Partnership funding was to be taken under item No.7 of the agenda.
Coordinators Report
The Chairman before moving on commented that the Partnership was very pleased with our Co-ordinators
performance who was good to return information in detail, and was fitting in very well ‘even noted’ that
was chasing us to respond, which doesn’t happen very often.
Damien reported that investigations were being made relating to the water supply which had been left on
underground when the toilets had been knocked down.
Requests had been made to leave access for the gardens.
Damien also reported that£2,925 was the balance in our Area Forum Budget.

Caerphilly Waste Forum
A letter from Haley Evans
Enclosing a feedback report on Session 2 which focused on food waste collection.
The next meeting will take place on Monday 19th January at 5.30pm. It was suggested that if any member of the
Partnership would like to attend Session 3 they let the Secretary know and he will send in the application forms.

Corporation Tax return
H.M. Revenue and Customs
Letter dated 22nd December 2008.
The Tax return reminder was received by the Secretary on the night of the meeting and was now receiving
attention although we know it has been sent to the H.M. Revenue.
Fund-raising December
Day to day operating expenses
Granville reported that the table top sale held at the community Centre was poorly attended although
advertising via posters, website and letters distribution through the schools, produced little if no results.
The total receipts were £227.50. the largest proportion of income was due to the raffle and book sales,
also purchased by the Partnership members who organised the sale.
However the Centenary Committee have decided to run another Raffle with printed tickets.

It is the intention that we will encourage Affiliated Associations and Organisations to participate.
Each will receive 50% of their take. The Partnership will pick up the advertising, administration and
printing costs, along with the cash prizes. The principle is that hopefully everyone will benefit.
Project Updates
Centenary Committee
It has been decided to hold another art competition, Mair and Granville to head up the exhibition venue.
Mair commented that the last exhibition was very successful. A number of people were disappointed as they
wanted to exhibit but unfortunately the venue was over subscribed. Granville suggested Ysgol Cwm Deri as a venue.
Eirlys added that end of term would be the best time to hold the exhibition, and that Allen Pritchard’s
daughter was on the Board of Governors.
Oakdale Artwork Commission
Granville updated the meeting regarding the coalface and suggested that apart from the ex-miners we would
also include miner’s wives and siblings. Most of the photographs are now with the commissioned artist.
Granville is also to investigate the height of the plinth.
Oakdale Centenary Heritage museum
The centenary committee reported that a meeting had been arranged with the Parks Department to outline
the proposals for this exciting project. Parks had no objection to the principle and it was agreed that
we would have further discussions regarding:
1)Planning the gardens
2)Partnership to outline the concept
3)Partnership to link with Heritage Lottery and Coalfield’s Regeneration trust.
It is hoped to be completed by late 2010.
Any Other Business
Following discussions at the last meeting relating to day to day running expenses,
Granville produced on request a detailed analysis of expenses with receipts which were passed to
Damien to hand to Tina for approval that C.C.B.C would pay the amount of indent.
Granville suggested that this be a loan with a payback, when the Partnerships fundraising activities
were producing results.
The meeting ended at 7.13pm.

encourage larger attendance and participation.
